Wedding and Event Sales Consultant

Position Summary – The Event Consultant plans and coordinates events by analyzing customer needs, suggesting solutions, and working with customers to create their ideal event. The Event Consultant handles customers inquiries promptly and efficiently in a fast-paced team oriented environment. The successful candidate must close sales and provide excellent customer service.

 

Essential Duties and Responsibilities –

 

Establish relationships with clients/Nurture existing client relationships.

 • Maintain a professional appearance

• Be an ambassador for Vermont Tent 

• Enthusiastically greet client in person or on the phone

• Make client comfortable; reassure them frequently

• Ask how client found out about company

• Introduce the company

• Gather information about event needs, being mindful of facts

• Probe with questions if you do not understand/listen to answers

• Build rapport with client

• Convey your confidence and competence

• Offer company information- catalog, web site, collateral, swatches

• Anticipate needs of the client

• Educate the client about inventory and services

• Show the client our inventory

• Advise client

• Offer quotation

• Educate client about store rental processes

• Make referrals to other vendors, if necessary

• Contact clients on a regular basis (phone, email, thank you notes, etc.)

• Diffuse unhappy customers/solve customers’ problems as they occur—be mindful that we are in a small community and clients may know each other

 

Create event proposals  

• Evaluate client needs

• Gather details of event elements

• Write the proposal using Party Track in a timely manner

• Up-sell products, goods and services, where appropriate

• Send the proposal by email, mail, or fax in a timely manner

• Discuss the proposal with the client

• Ask for the order

• Coordinate a site visit, if necessary

• Adjust quote/contract, if necessary

• Work with other event vendors

• Continue to follow up

 

Create visuals for the client  

• Create drawings using Social Tables

• Take digital photographs of rental equipment

• Utilize samples, as available

 

Finalize the sale  

• Confirm the sale verbally or via email

• Issue rental contract

• Collect deposit and signatures

• Be available to client through culmination of event

 

Perform administrative responsibilities  

• Create event proposal/contract

• Collect payment

• Communicate with client

• Order changes are a constant—be sure to follow up with clients regularly

• Maintain company paper trail

• Communicate with internal staff/team members

• Create purchase orders/sub-rentals

• Keep work areas and showroom tidy

• Read industry publications

• Participate in industry education

 

Work with team members

Tent Installation/Delivery Team

Job duties include but are not limited to:

  • Setup and take down of tents, stages, dance floors and lighting

  • Delivery of equipment; tables, chairs, etc.

  • Loading and unloading trucks

  • Cleaning and maintaining equipment

  • Occasionally interact with clients

  • Primary work is conducted outside, in all weather conditions

Qualified Candidates:

  • Have flexible work schedule that includes some weekend availability

  • Will have opportunity to travel out of state and go on overnight trips from time to time

  • Are able to work in a team environment

  • Have the ability to lift heavy items

  • Maintain a professional appearance

  • Valid driver’s license preferred but not required

  • Ability to drive box trucks is a plus but not required

  • Take pride in the finished product and have attention to detail

 

 


Driver/Warehouse Team- Event Division

Job duties include but are not limited to:

  • Driving straight box trucks (non-CDL)

  • Sorting, cleaning, preparation and delivery of event rental equipment. This position will specifically involve equipment such as ovens, refrigerators, grills, linen, silverware and china.

  • Attention for detail

Qualified Candidates:

  • Have flexible work schedule that includes some weekend availability

  • Will have opportunity to travel out of state and go on overnight trips from time to time

  • Are able to work in a team environment

  • Have the ability to lift heavy items

  • Maintain a professional appearance

  • Valid driver’s license preferred but not required

Linen Team

Job duties include but are not limited to:

  • Quality Control – inspecting linens

  • Inventory Control – counting linens returning from jobs

  • Pulling Orders

  • Cutting/Sewing

We are seeking hard workers to assist in the loading of tent and event rental equipment on delivery trucks. Swing shifts postions available from afternoon to early evening.

Job duties include but are not limited to:

  • Loading and unloading trucks

  • Cleaning and maintaining equipment

  • Pulling and packing equipment

  • Cleaning and maintaining warehouse

  • Primary work is conducted in the warehouse but can involve outdoor work

Qualified Candidates: 

  • Are able to occasionally lift heavy items

  • Focus on accuracy while loading equipment

  • Have the ability to work in a team environment as well as handle individual projects

  • Take pride in their work.



Inventory Maintenance and Warehouse Team

Job duties include but are not limited to:

  • Cleaning and maintaining tables, chairs and other equipment

  • Loading and unloading equipment in customers' vehicles

  • Cleaning and maintaining warehouse

  • Primary work is conducted in the warehouse but can involve outdoor work
